Rental Requirements Policy
Eligibility
- •Renters must be 18 years or older
- •Valid government-issued photo ID required
- •All clients must sign a Rental Agreement
Approval
CineEssentials reserves the right to approve or deny rentals at its discretion.
Insurance & Liability Policy
Overview
All rentals must be covered under one of the following tiers:
Tier 1 – Insured Clients (Preferred)
Requirements:
- • Valid production insurance
- - Rented equipment coverage
- - Coverage equal to replacement value
- - CineEssentials listed as:
- ◦ Loss Payee
- ◦ Additional Insured
Benefits:
- • Reduced or waived deposit
- • Priority approval
Tier 2 – Security Deposit (Standard)
Requirements:
- • Valid ID
- • Security deposit required
Deposit Range:
Typically $500 – $5,000+ depending on gear
⚠️ Important Notes:
- • Deposit is not insurance
- • Client is fully responsible for all damage, loss, or theft
Tier 3 – Deposit + Damage Waiver (Optional)
Includes:
- • Security deposit
- • Optional damage waiver fee
✓ Covers:
- • Minor accidental damage
✗ Does NOT Cover:
- • Theft or loss
- • Negligence
- • Water/extreme conditions
- • Total loss
General Liability (All Tiers)
Client is responsible from pickup → return inspection
Liable for:
- • Repair costs
- • Replacement value
- • Downtime fees (lost rental income)
Payment Policy
Full Payment Required
Full payment required before pickup
Accepted Methods
- • Credit/Debit
- • E-transfer
Important: Bookings are not confirmed until payment is received. Late or failed payment = automatic cancellation.

Optional: Store credit may be offered at CineEssentials discretion.
Rental Period & Late Fees
Rental Period
Standard rental = 24 hours (e.g. 11AM–11AM)
Late Returns
Late returns incur:
- • Hourly fee OR
- • Full additional rental day
Failure to Return
- • Treated as loss or theft
- • Full replacement cost charged
Pickup & Return Policy
Pickup
- • By appointment only
- • Gear must be checked and confirmed before leaving
Return
Gear must be:
- • On time
- • In original condition
- • Fully complete
Inspection
All items inspected upon return. Missing/damaged items charged accordingly.
Damage, Loss & Theft Policy
Client Responsibility
Client assumes full responsibility for:
- • Damage
- • Loss
- • Theft
Charges
- • Repair cost OR
- • Full replacement value
Additional Fees
Downtime fee during repair period
Equipment Use Policy
- • Equipment must be used properly and safely
- • No illegal or hazardous use
- • No sub-renting without approval
Restricted Use
Unless approved:
- • Extreme weather (rain, snow, sand)
- • High-risk mounts (vehicles, rigs, drones, etc.)
Damage Waiver Policy
(Optional add-on)
✓ Covers:
Minor accidental damage
✗ Does NOT Cover:
- • Theft
- • Negligence
- • Total loss
Notes:
- • Non-refundable fee
- • Does not remove full liability
Reservation Policy
Reservations are first come, first served.
Not Confirmed Until:
- • Payment
- • Documents
- • Approval
CineEssentials may cancel or refuse bookings based on risk assessment.
Liability Waiver
CineEssentials is not liable for:
- • Injury
- • Production delays
- • Loss of footage/data
- • Business losses
Client assumes all risk when using equipment.
Privacy Policy
We Collect:
- • Name
- • Contact information
- • ID verification
- • Payment details
Usage:
- • Rental processing
- • Verification
- • Communication
Protection:
Data is kept secure and not sold or shared (except for legal/payment processing requirements).
Terms of Service Agreement
By renting from CineEssentials, clients agree to:
- • All policies listed above
- • Financial responsibility for equipment
- • Legal enforcement if necessary

Governed by the laws of Alberta, Canada.
